How to host a Coffee Morning on a budget
Read our 8 tips to help you host a low-cost Coffee Morning.
1. Keep it simple with home baking
The food you serve at your Coffee Morning doesn't need to be complicated.
You could make easy crowd pleasing recipes like crispy rice cakes or flapjacks.
It may be helpful to bake things that have the same ingredients so you don't buy things you may not use again. You could also choose recipes which have fewer ingredients.
There is no need to buy the expensive options for the ingredients. Many store brands are high quality and won't break your budget.
You also don't need to bake - you could chose to host a dinner party and batch cook something. If you're having close friends over, why not ask them to contribute their favourite dish too.
Lastly, you don't even have to cook or bake. For example, if you're hosting a Coffee Morning at work, you could ask your colleagues to bring in a pack of their favourite biscuits. Then you can place a bet on which biscuit is the most popular in your office.
2. Use a free or low-cost venue
Take the stress out of finding a venue by using what you may already have available.
Hosting a Coffee Morning at home is an easy way to keep your event low-cost. Holding it at home also offers an opportunity to break away from a traditional coffee and cake event. For example, why not host 'brunch and books' with your weekly book club. Or use your garden to throw a BBQ themed Coffee Morning.
You could also host at work. This is a great way to bring your colleagues, suppliers and customers together. You could ask them to contribute by bringing food or donating raffle prizes.
If you need a larger venue so you can invite more people, you could try hosting at:
- a community centre or hall
- a place of worship
- your local library.
If there is a cost to rent the venue, they may offer a discount or wave the fee if you tell them you are raising funds for Macmillan.
3. Get local support
A great way to keep the costs low is to get support from people in your community.
You could ask local businesses to donate food or a raffle prize. They could even get involved by being a vendor at your event, and donate some of their proceeds towards your fundraising target.
Again, you may be able to use a venue in your local community that is free or low-cost. For example, if you're a member of a faith or religious group, why not ask your place of worship to host a Coffee Morning after service?
When advertising your event, you can ask local stores and restaurants if they can display your Coffee Morning poster. You will receive this in your fundraising pack.
You could also ask for local services to add the details of your Coffee Morning to their event calendar or newsletter.

4. Use what you already have
You don't need to spend a lot of money on resources and decorations to make your event great.
You will receive free decorations in your fundraising pack like cake labels and balloons. We also have many free Coffee Morning resources to download.
In your fundraising pack, you will also receive a table cloth, but that doesn't mean you can't use different ones. Your guests may have some they can bring to help you set up, or you could use a fun-patterned, unused bed cloth or curtain too.
Using mismatched plates and cutlery is also a fun way to give your Coffee Morning a bohemian feeling.
5. Cut costs on drinks
Many people often bring food to Coffee Morning events. Why not ask your guests to bring drinks too?
Guests could bring a small box or bag of their favourite tea or coffee. Then you could run a competition to see which is the most popular amongst your guests.
You could also ask people to bring milk or a milk alternative. This way you can cater to guests' different dietary needs without buying too much or too little.
Coffee Morning also doesn't have to mean you have coffee or tea. You could serve easy drinks like squash, or skip drinks altogether and have a pizza party instead!

6. Eco-friendly savings
There are many ways you can keep your event low-cost and eco-friendly.
A fun thing you could do is to ask your guests to bring their favourite mug. This way you don't have to buy disposable cups and it saves you from having to wash up.
In your fundraising pack, you'll receive QR codes linked to your fundraising page. By encouraging your Coffee Morning guests to donate online, it'll help save you a trip to the Post Office or bank to pay in your fundraising.

7. Get creative with entertainment

But there are other things you can do on a low-budget such as:
- Ask guests about their favourite songs and add it to your Coffee Morning playlist. No need for a fancy sound system if you're hosting a smaller Coffee Morning, you can use devices you already have like a Bluetooth speaker or TV.
- Ask people to bring their favourite board or card game. This can be a fun way for people to get involved in your event if they cannot bring food or drinks.
- Recruit people to do a performance. If you're hosting a community Coffee Morning, there may be local bands, singers or comedians who will perform for free.
- Keep it simple and do classic party games. Games such as charades, Who Am I? and pub quizzes are always a crowd pleaser.
8. If you can't host a Coffee Morning, join one!
